You have two payment options:

1. Pay in full 2. Instalments (choice of 9 or 4 instalments) Direct Debit For all our proper*es, we request you set up a Direct Debit from a UK bank account. A Direct Debit mandate will be sent with your AST and rent payment schedule. There is no charge for this service.

UK GBP Payments via Debit Card To meet PSD2 regulations our payment system charges a flat fee of £1.50 to all tenants when the tenant pays booking fees, deposits or non-automated rent instalments via our online portal provider (StuRents) from UK, EU EEA via debit card.

Non-GBP Payments via Debit Card

Our payment system charges a flat fee of £1.50 and card fee (up to 2%) to all tenants when the tenant pays booking fees, deposits or non-automated rent instalments via our online portal provider (StuRents) outside of the EEA. If you book accommodation 14 calendar days prior to your check-in date, you will be required to pay using a debit card via our online process. Cloud Student Homes does not accept cash payments, credit cards or cheques. Debit card payments cannot be taken over the phone, or at the accommodation reception. It is the tenant’s responsibility to ensure funds are available to cover rental amount(s) in line with published payment terms (see 2.1 Instalment Schedules); we strongly recommend that you apply for Student Finance well in advance if you are relying on this to cover rental amount(s). Non-payment will be treated in line with the Cloud Student Homes debt collection procedure (details of which are available on request).

This will be taken on 9 August, or if booked in or acer August, prior to the AST start date.

Payment in Instalments (requires a UK Guarantor) 9 Instalment Option:

September: 10% of total rent (or 20% if booked acer 14 August)

The payment dates outlined in your contract are fixed and cannot be changed, so you will need to ensure you will have the necessary funds in your account on the date rent is due for payment.

If you fail to make your first instalment/full payment on *me, Cloud Student Homes reserves the right to cancel your booking 10 working days acer the date on which the payment was due. Your booking fee and deposit will not be returned. Please note that access to the room is not granted un*l the first instalment/full rental payment is made (as per individual tenancy)

Updates to Policy

The Property has outlined the changes to standard Terms and Conditions due to the COVID-19 outbreak so to provide as much flexibility for your September 2020 stay. 

If you are wishing to cancel your tenancy due to the COVID-19 outbreak then the following policy applies in replacement of the standard Cancellation Terms and Conditions; 

Cancellation Policy 

Cancellation before moving in 

To confirm your room you will need to ensure that you have completed your Assured Shorthold Tenancy (AST) agreement via StuRents and paid your deposit. 

Once you have completed the AST you have until (but not including) 1st August 2020 to be able to cancel your tenancy with no penalty. Any requests outside the above period will require you to find a student to replace you, who in turn will need to complete the AST and paid their deposit via StuRents. Once they have passed the 7 day cool off period you will be released from the tenancy. 

Travel 

Due to the COVID-19 travel restrictions to the United Kingdom, if you are unable to travel to your accommodation you will need to provide written evidence from the Government in your homes country (translated into English), to support the restrictions at the time of your cancellation. 

You will need to let your accommodation team aware of the cancellation no later than 14 days prior to your tenancy start date, this notification will need to be accompanied with the Government notification as above. 

Your accommodation team will then be able to assess the cancellation request and refund your deposit and release you from your tenancy agreement for 2020/21. 

If you do not provide the appropriate evidence, or within the timescales above then you will he held to the full terms of your AST and full rental payments. 

Visas 

If you are due to stay with us however are unable to obtain a Visa either due to the restrictions on travel, or the Visa offices are currently closed then we will try to hold your room for you whilst your Visa has being processed. You must ensure that you are informing your accommodation team if your Visa is being delayed. 

If your Visa has been refused then you will need to contact your accommodation team within 5 days of the refusal with the evidence of the refusal in order for your cancellation to be processed and deposit refunded 

First Year Students 

No Place No Stay – if you are not successful in gaining your place in your chosen University then you will need to contact your accommodation team within 5 days of being made aware in order to cancel your AST and your deposit refunded. 

If you do not provide the appropriate evidence, or within the timescales above then you will he held to the full terms of your AST and full rental payments. 

Property does have accommodations across the country, so do speak to the team and we may be able to accommodate you in another property.

Cancellation cooling off period(s)


If you choose to cancel your booking with Cloud Student Homes, you have 7 calendar days acer signing your AST to do so. If you made your booking fewer than 7 calendar days before your AST start date you may cancel your booking up un*l the day prior to your tenancy start date, without incurring penalty. You may request to cancel your booking by sending an email to [email protected] or contacting your property management team.
Cloud Student Homes will refund your deposit within 10 working days of accepting your cancellation. International bank transfers can take longer to process funds and incur a transfer fee.

Cancellations acer the cooling off period(s)

Any requests outside the above period will require you to find a student to replace you, who in turn will need to complete the AST and paid their deposit via StuRents. Once they have passed the 7 day cool off period you will be released from the tenancy.

Cancellations acer you have moved into the accommodation

You must speak to your local Property Manager if you are thinking about leaving your accommodation. If you do decide to leave your accommodation during your contracted term, the landlord may agree to release you from your contract, providing the conditions set out below are met: 

  • You find a suitable replacement (who must be enrolled as a full-time student at a local university or college) to take a new tenancy agreement for your room for the remaining period of your contract.
  • The incoming tenant must sign an AST with Cloud Student Homes, providing the relevant requested documents, and where relevant also providing a suitable UK Guarantor.
  • Refunds due will not be processed un*l the incoming tenant taking over the contract has signed the AST, paid and moved into the accommodation

Please note that you will be charged for the length of stay you occupied the room, and for any different in rental amount between yourself and the replacing student (if applicable).

If you fail to find someone to take over your tenancy, you and your guarantor (if applicable) will be responsible for paying the full rent un*l the end of your contracted *me at the accommodation.

Cancellations by Cloud Student Homes or the Landlord

Our terms and conditions require you to sign your AST within the period specified on your electronic AST. If you and your Guarantor (if applicable) fail to sign your AST within this timescale, your AST will be automatically canceled. If for any reason Cloud Student Homes is not able to offer you accommodation once your AST is fully signed, we will contact you as soon as possible detailing the reasons why, or offering an alternative solution. If we cannot offer an alternative, or the alternative is not suitable, we will refund all monies paid to Cloud Student Homes.

First-year students who do not get a place at university: “No Place, No Stay”

This offer is applicable to undergraduate first-year students only.

If you are a prospective first-year undergraduate student, and your offer of a place at your preferred university/higher education institution is withdrawn as a result of not achieving the required entry grades, you will be eligible to receive a refund of your deposit.

You may also be eligible to cancel under “No Place, No Stay” if you choose to go to a different university in a city that does not have availability in a Cloud Student Homes property because you have exceeded your expected grades.

To cancel under “No Place, No Stay”, you must supply either;

(a) a copy of a written rejection letter from your chosen university/college or UCAS, which confirms that the results you required for acceptance were not achieved; or

(b) a copy of the proof of acceptance to a new university by UCAS adjustment.

If your Visa has been refused then you will need to contact your accommodation team within 5 days of the refusal with the evidence of the refusal in order for your cancellation to be processed and deposit refunded
 

Frequently Asked Questions

Q. How do I book?

To book you can click the ‘Book Now’ buttons on our website and register with us to book the accommodation you want online.

Q. Can I view the property before booking?

Of course. Viewings of rooms can be taken throughout the year with at least 24 hours’ notice needed to be given. We can also arrange Skype Viewings for you. Please inform us and we shall be more than happy to arrange a viewing for you.

Q. Can I choose a certain room?

Yes. The sooner that you book your accommodation the more likely you are of getting a certain room. Dependent on availability.

Q. How and when are rooms allocated?

Rooms are allocated on preference. Please enter preferences when booking through the website and followed up booking form.

Q. Can I move in early?

Yes, dependent on availability. Please speak to the booking team.

Q. What documents do I need to bring to the property when I move in?

Please bring an official form of ID with you e.g. passport or provisional/driving license. If you have not already returned the original signed tenancy agreement you should also bring these with you.

Q. Where do I get my keys?

You can collect your keys from reception when you check in. Just come straight to the main reception with your photo ID and they will have the keys ready and waiting for you.

Q. Can you store my luggage if I get it delivered to site before I arrive?

As we will be preparing the room for your arrival, we will not be able to store any luggage for you before you arrive.

Q. I haven’t yet signed my paperwork, can I still move in?

We will need your signed tenancy agreement and payment information before you move in. 

Q. What time can I move in from?

You can move in any time from the start date of your tenancy onwards. We can accommodate around your needs. 

Q. Do I need a TV licence?

TV licences are given for the communal kitchen areas but if you are bringing your own TV for your study room a licence is required. 

Q. How do I log repairs?

Any maintenance issues are to be reported to reception a member of our team will log this and the issue will be resolved as soon as possible.

Q. What is the policy on guest staying in my room?

You may have occasional overnight guests but not to have overnight visitors longer than two consecutive nights. Ensure that any visitors sign in at reception on arrival and on departing the building.

Q. Will my cluster be cleaned?

Your rooms and cluster kitchens are cleaned for when you arrive. Once you have moved in you will be responsible for the cleaning of your room. 

Q. What is the security is available?

24 hour CCTV is available across all our sites. The building is also monitored 24 hours a day by staff, Student Ambassadors or Security. Secure key access throughout the buildings.

Q. Can I smoke anywhere onsite?

Smoking is not permitted anywhere inside of the building but facilities are provided on the exterior.

Q. How can I pay if I’m an overseas student?

Pay to Study offers a fast and secure way to send payments globally at no cost to the payer or the payee by using a simple 3 step process. 

Q. How can I pay for my rent?

Payments of direct debit can be set up upon signing of your Tenancy Agreement or rent payment can be paid in one full instalment on or before arrival. We currently accept Bank transfers and cheque details of which will be given in you accommodation pack.

Q. What kitchen facilities are supplied?

Fully fitted kitchens with dishwashers, microwaves, electric hob, oven and breakfast bar with stools. Toasters, kettles and non-fitted electrical appliances are not provided.

Q. Is there a bike store available?

Bike stores or bike racks are available onsite.

Q. What is included in the room?

Within every room there is a large bed with under bed storage, mini-fridges, en-suite power shower, safe, wardrobe, drawers, desk and study chair are supplied.
